Make every Shopify payout match the deposit in your books.
PayoutClerk will post one summary entry per Shopify payout to QuickBooks Online or Xero, with sales, refunds, processing fees, gift cards and sales tax by jurisdiction broken out. The entry adds up to what actually landed in your bank, so the deposit has something to match.

Sound familiar?
Shopify pays you in batches. Your books need to know what is inside each batch.
Deposits that don't match
A payout nets sales against fees, refunds and adjustments, so the deposit almost never equals the sales total in your books.
Missing or doubled orders
Order-by-order syncs can skip orders or post them twice, and you only find out when you reconcile.
Tax in one lump
Sales tax lands as a single line when you need it split by state, county and city.
How it will work
Set it up once. After that it runs on its own.
Connect
Sign in to Shopify and to QuickBooks Online or Xero through their official connection screens. We never see your passwords.
Map your accounts once
Choose where sales, shipping, discounts, refunds, fees, gift cards and each sales tax jurisdiction should go.
One entry per payout
When Shopify sends a payout, PayoutClerk will post a summary entry covering:
- Sales, shipping and discounts
- Refunds and chargebacks
- Processing fees, to your fee expense account
- Gift card sales and redemptions
- Sales tax, split by jurisdiction
Entries go through a clearing account, so each bank deposit becomes a simple transfer to match. Each entry will note the payout and the dates it covers, so you can trace any number back to Shopify.
Who it's for
Small Shopify stores that keep their books in QuickBooks Online or Xero.
Store owners who do their own books
And spend month end working out why the deposits and the sales report disagree.
Bookkeepers with Shopify clients
Who want the same clean, payout-level process for every store they look after.
Stores that collect tax in several places
Who need sales tax payable split by jurisdiction, not one combined line.
Stores that outgrew order-by-order syncs
Whose ledger is full of individual sales receipts that never tie to a deposit.

Questions
Straight answers about how your data will be handled.
Is my store data secure?
Connections use the official sign-in (OAuth) screens from Shopify, Intuit and Xero, so we never see or store your passwords. Access tokens and data will be encrypted in transit and at rest. You can disconnect at any time, and we'll delete your data on request.
What can PayoutClerk do in my Shopify store?
Only read. It reads payouts, orders, refunds and fees so it can build your entries. It never changes orders, products or customers, and it can't move money.
What does it write to my books?
Summary journal entries to the accounts you choose, one per payout. It doesn't create a customer or invoice for every order, and it doesn't touch your other transactions.
What about PayPal and other payment methods?
The first version will focus on Shopify Payments payouts. Other gateways pay out separately, and we want to hear which ones you use before we decide how to cover them.
Is this made by Shopify, Intuit or Xero?
No. PayoutClerk is an independent tool built by a payments engineer. It is not affiliated with or endorsed by Shopify, Intuit or Xero.
When will it be ready?
It isn't built yet. We're talking with store owners and bookkeepers first. Join the list and we'll email you when early access opens. No spam, and you can unsubscribe any time.
